Phillips Exeter Academy, a co-educational residential school serving students in grades 9 through 12, and post-graduate level, was founded in 1781 by John Phillips. The Position
Reporting to the director of Donor Relations, the program assistant provides technological and other administrative support to the Donor Relations office and serves as a reception greeter for Institutional Advancement, as assigned. Key accountabilities include:
• Provide general clerical support for the Donor Relations office, including but not limited to:
o Collecting, inputting, verifying the accuracy of, and analyzing data
o Maintaining, updating and generating electronic lists, reports, records and files
o Coordinating and executing electronic and print communication production and delivery
o Photocopying and filing materials
o Assist with donor acknowledgment, recognition and stewardship reporting initiatives
• Respond to internal and external queries.
• Assist with gift processing and donor acknowledgments.
• Collaborate with and obtain/provide information from/to colleagues in the Office of Institutional Advancement and across campus.
• Assist with the development and execution of donor acknowledgment, recognition and reporting initiatives, including but not limited to an annual cycle for communicating with beneficiaries of, and reporting on endowed funds, and with the design and implementation of customized plans for reporting to donors who have made significant current restricted gifts and/or contributed to facility renovation and construction projects.
• Serve as a greeter for Gilman House, assisting visitors, answering phones, and signing for shipments.
• Support the overall functioning of the Office of Institutional Advancement by working collaboratively to promote efficiencies and to develop and maintain goodwill, respect and cooperation, and providing colleagues with assistance as necessary.
• Assists with planning and organizing on campus events.
• Submits expense reports in Concur.

Skills
Experience
• 3+ years of clerical/administrative experience.

Education
• High School graduate or GED required.
• College or business school education desired.

Skills & Knowledge
• Excellent telephone, data entry and clerical skills.
• High degree of organizational skills with the ability to be flexible and multi-task with accuracy.
• Excellent analytical and problem solving skills as well as a strong customer focus.
• Demonstrated ability to make independent and coordinated decisions in a fast-paced environment and handle multiple priorities and deadlines.
• A strict adherence to confidential policies is required.
• Excellent communication (written and verbal) and proofreading skills.
• Ability to follow verbal and written directions, maintain a professional demeanor and restraint at all times, including stressful situations.
• Proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, Outlook, PowerPoint).
• Proficiency in using and understanding relational databases, such as Ellucian Colleague.
• Willingness and ability to learn additional applications as needed to be more efficient.
• Demonstrated commitment to diversity and inclusivity and to serving the needs of a diverse and inclusive community with diplomacy and tact.
